How to Set up Attachment Compliance Rule for Partial Users in Gmail

We can restrict the sharing of data within or outside the organization by configuring the attachment compliance rule. The compliance rules will specify what actions should be taken on the mails if it matches the defined conditions.

How to Set up Attachment Compliance Rule for Partial Users in Gmail

Gmail allows Admin users to  create attachment compliance rules which will have certain conditions applied as per the requirements. The rules will specify what actions should be taken on the mails if the criteria matches the defined conditions.

We can create attachment compliance rules for the entire organization or for partial users in an organization.

To apply the rule for partial users first we need to create a separate Organization Unit(OU) under Primary OU. Once the OU is created we need to move the users to the new OU and apply the rule on the new OU.

Steps to create Secondary Organization Unit(OU) under Primary OU.

1. Login to the Admin console.

2. Go to Home-> Directory -> Organizational units.

3. Click on Create new organizational unit. 

4. Enter the name of organizational unit. 

5. Click Create.

As the New OU is created, move the users to the new OU and then follow the below steps to create an attachment compliance rule:

1. Login to the Admin console.

2. From the Home page go to Apps -> G Suite-> Gmail-> Advanced Settings.

3. Go to the Compliance section, then Scroll down to the Attachment compliance and click Configure.

4. Select the check boxes on which rule should be applied. We can apply the rule on Inbound, Outbound, or Internal mails.

5. Select If ANY of the following match the message or If ALL of the following match the message option to specify whether any or all conditions must be matched to apply the settings to the mails.

6. Click on ADD.

7. Choose from the options below what you want to specify for the expression:

  • File Type -> Here you need to select the file types i.e; .doc,.jpg, .zip etc. If your file type is not available in options provided, then you can also add that file type in the custom file types section.

  • File Name -> Here you need to provide the attachment file name.

  • Message Size -> If you want to search the attachment with size then you need to provide the size of the file in MB and this size limit should include the message body and all attachments.

8. Click Save

9. Then select from the options Modify, Reject or Quarantine. This will specify what action should be taken on the mails if it matches the above conditions.

10. Click on Add settings and Save the configuration.
