Microsoft O365 Online IMAP Data Migration

Data migration is a key feature in O365 Admin console. Here we will discuss about the online IMAP data migration from different source servers to O365.

Data Migration is very essential when any client is switching the Mail servers, primarily because it holds important business information none of which can go amiss.

Here we will discuss about the Data migration from other source servers to Office 365 mail server.


In O365 Admin console, there are two ways to migrate the data through IMAP (Internet Mail Access Protocol) connection from another server.


  1. Common Data Migration option.

  2. Exchange admin center data migration option.


Common Data Migration:

Login to your office account and go to the admin section.

In the search box type Data Migration and press enter.

It will lead you to the data migration dashboard.

There are many options and specified mail server you can choose as per your requirement.

But we will suggest to choose the “Other email sources” and set up the IMAP connection.








Save the connection.


In the next window, you will find all the domain users. You just need to enter the old username and old password, then validate the credentials. Once done, click on start the migration.






Exchange admin center data migration:

Login to Admin console.

Go to Admin centers.

Go to exchange admin center.

Under recipient, click on migration.


Select the  “+” button to create a new migration and select “ Migrate to exchange online”







In the next window, select IMAP migration and click on next.







Click on allow unknown column in the CSV file.

Select file.

** a csv file needs to contain 3 columns.

  1. Email address(O365 mail address)

  2. User name (old user id)

  3. Password (old password)

Download it in CSV format.

Choose that file from select file option.


Fill up the source imap connection details.



Click on next in the new window. If you want to exclude any folder, you can mention it there.





Select “automatically start the batch”.



Click on new.


The migration will start after a few minutes and after validation.

You can check the report and also can download it from the “view details” option in the right hand corner.








The migration will complete automatically and will automatically check whether any mail left off or any new mail has come to the old account. Even if you change the MX, there is a certain time frame in a day, where the batch migration will recheck and if any mail is found left over in the old server, then will migrate those emails until and unless you delete the batch file or the migration status shows “synced”.


Migration Statuses:

  1. Validating

  2. Syncing

  3. Synced

  4. Failed

  5. Error


If the migration failed or has some error then you can check from the view details option to determine the error or the reason of failure.
